Program Operations Manager

The Program Operations Manager is responsible for improving and managing the operational systems and processes that are the foundation of Global Citizen Year’s program. We are looking for an individual who is passionate about our mission, and is excited for the opportunity to utilize their project and technology management skills to deliver a high quality program experience to our participants. The perfect candidate will combine people, systems, and technical skills to innovate our processes and achieve greater operational efficiency and growth. The position allows a candidate to collaborate with an international team to make their mark on the core operations of an innovative organization that is gearing up to develop young global leaders at scale.

Position Responsibilities

Operations and Technology Systems

Manage, assess, and innovate operational infrastructure, systems, technology, and processes that ensure implementation of a high quality program. Lead an array of projects that improve the Programs Team’s core business processes and technology systems in support of operational efficiency, effective knowledge sharing and management, and programmatic learning objectives.

Event Management

Meticulously lead the planning and execution of successful program event logistics, whether they are online or in-person. (Note that in-person events are currently suspended due to the COVID pandemic, and may be reconsidered when we relaunch our Fellowship.)

Administrative Systems

Develop and manage administrative systems crucial to the delivery of our program, including vendor relations, budget tracking & management, operational plans and calendars. Develop and implement systems and strategies that foster a culture of transparency and collaboration, enabling the team to perform at high levels of effectiveness and efficiency.

Candidate Profile


You are a project management pro. You use project management systems and tools to clarify stakeholder needs and goals, build consensus, and keep everyone on track to success. You think two steps ahead to where things could go wrong, and then you make sure they don’t. You can handle many important responsibilities at once and you’re rigorous about prioritization.

You are a good listener and questioner who builds systems and tools that demonstrate you understand people’s needs. You love being the go-to person to get something done right. You like fixing and preventing problems.

You thrive in the details and colleagues are genuinely shocked when you miss one. This is your domain--the large and fine points that make or break a smooth operation or event. You think about the specifics that are not obvious to others and love creating systems to ensure everything is covered.

The following skills are required:

  • 5+ years of relevant professional experience. Relevant is what you make of it – it’s on you to demonstrate it
  • Strong project management skills, with demonstrated experience shepherding numerous stakeholders through user-centered and data-driven decision-making to the successful achievement of project goals; Process improvement experience is a plus
  • Experience maintaining technology systems and utilizing technology to solve problems
  • Experience planning and managing meetings/conferences/trainings
  • Ability to solve complex technical, managerial, or operational problems, and evaluate options based on relevant information, resources, knowledge, and well-rounded experience
  • Strong verbal and written communication skills, with demonstrated ability to lead effective meetings and use appropriate communication tools to effectively inform and build consensus among stakeholders
  • Full competency in Microsoft and Google suites; Strong preference for Salesforce familiarity

Strong candidates will also have:

  • Experience living/working internationally and/or collaborating with geographically dispersed teams

Position Details

Compensation: Salary commensurate with experience; comprehensive benefits package

Location: Oakland preferred but willing to consider remote

Ideal Start Date: ASAP
