People Operations Associate

About this role

The People Operations Associate will play a key role in “bringing the magic” to the employee experience at Global Citizen Year. They will coordinate our people and talent strategy throughout the employee journey including recruitment, onboarding, appreciation and engagement while taking a critical lens towards diversity, equity, and inclusion. This role will coordinate resources, systems and processes that support staff and allow them to thrive in their roles. Reporting to the VP of People & Operations, the People Operations Associate will join a supportive, collaborative, and dedicated 4-member Global Operations team.

Your Opportunity for Impact

Talent Acquisition: Help us find our next amazing teammates

  • Coordinate external and internal outreach to find a diverse pool of highly qualified candidates for all open roles.
  • Review and rate candidate applications
  • Conduct and schedule candidate screening interviews
  • Finalize offer letter paperwork

Onboarding: lead the onboarding process so staff feel prepared, welcomed and supported

  • Set up new staff with all technology systems and hardware for their role
  • Ensure new staff have access to all the information they need to understand their benefits options
  • Coordinate schedules of org wide Onboarding Plan
  • Ensure all hiring and compliance paperwork and training are completed
  • Initiate onboarding survey

Staff Engagement: ensure staff have multiple ways to engage and feel connected with the team

  • Coordinate staff appreciation initiatives
  • Coordinate and lead virtual and in-person staff bonding activities
  • Maintain and organize org wide calendar
  • Coordinate staff offboarding
  • Prepare weekly staff meeting
  • Coordinate bi-annual staff engagement survey
  • Coordinate review cycles in 15five (60 day, mid year, and annual)
  • Keep professional development resource page updated

Employee Benefits: make sure our benefits are working for our staff

  • Work with finance & operations director to manage benefits open enrollment and benefits related issues that arise
  • Track benefits and encourage employees take advantage of benefit offerings

Systems & Operations: keep up the systems and processes that help our team thrive

  • Oversee people tech systems (HRIS, 15Five, LinkedIn Recruiter) to ensure that employees, contractors and interns are set up appropriately Oversee tech hardware (computers and accessories)
  • Coordinate remote work set up and support
  • Oversee office space including service providers and office supplies
  • Work with finance & operations director to manage insurance renewals and claims
  • Support finance & operations director with staff’s Smartdata execution
  • Document internal and external facing processes and post to our knowledge management system

  • Project management skills
  • Exceptional time management skills
  • Excellent verbal and written communication skills
  • Technical Skills: Full competency in Microsoft, Google suite
  • Relationship Management & Interpersonal Skills: A “people-first” mindset, with a strong ability to build trusting relationships and convey empathy in all interactions.

Bonus points if you have/are:

  • Experience with HRIS, applicant tracking software, and LinkedIn recruiter
  • Experience with Asana, 15five, and Calendly

Position Logistics

Location: Global Citizen Year is headquartered in Oakland CA, but currently our staff is working remotely. We are open to whether this position is based in Oakland or is remote.

Start date: We are prioritizing applications received by November 19, 2021; ideal start date is January 22, 2022

Compensation: The salary range for this role is $55,000 to $62,000. We are proud to provide a total compensation package that puts the person first. You can learn more about our benefits here.
