Admissions Operations Manager

About this role

Our admissions process is designed to select and bring together the most promising young leaders of the next generation - individuals who will inspire change during their program experience and beyond. As a member of the Admissions team, you will manage operations of the admissions process and focus on how we select a diverse pool of the highest quality applicants for our cohort each year. With an eye towards growth, scalability, and the applicant experience, you will play a critical role in achieving our enrollment goals and shaping each year’s distinct cohort of young leaders. This position is a key team member for Global Citizen Year’s admissions process and will be involved with long-term strategic thinking and planning.

Your Opportunity for Impact

Manage our Admissions Operational strategy:

  • Guide strategy of admissions to build diverse and selective cohorts for Fellowship & Academy programs.
  • Ensure processes are in place to meet targets for enrollment, diversity and financial aid.
  • Uphold and strengthen the integrity of the admissions process flow from application submission through enrollment; iterate process as needed
    • Monitor completion of all application tasks
    • Execute Recruitment Partnerships
    • Review written applications and conduct interviews where applicable
    • Execute email flow and communication with applicants

Manage & Improve Admissions Systems:

  • Maintain and track an admissions dashboard on a weekly basis.
  • Through regular monitoring of the dashboard, identify concerns and propose process improvements, to enhance the applicant experience and/or to maximize efficiencies in our admissions process.
  • Document processes and workflows for admissions.
  • Maximize use of tools, software and automation used in the admissions process, e.g. Salesforce, Airtable, Docusign, Youcanbookme, Mailchimp, and Front.
  • Ensure data integrity across admissions systems to prevent data loss and protect applicant experience.

Contribute to improving our conversion rate of applicants across the pipeline

  • Work in collaboration with the Director of Admissions and the outreach and marketing team to create a seamless experience for the applicant; oversee the communication with applicants about document submission to fulfill application requirements.
  • Monitor stage durations and conversion numbers to determine if any adjustments to our process or communications are needed.

The following skills are required:

  • 5+ years of experience in a sales or admissions operations role
  • Must have: Comprehensive Salesforce knowledge for managing a pipeline, building dashboards, running reports, and more.
  • Expert level project manager with proven ability to create and improve processes.
  • Strong teamwork and interpersonal skills; ability to be adaptable, dependable and handle multiple priorities simultaneously.
  • Experience using a variety of productivity and business intelligence tools, especially Google apps, Asana and Excel
  • Preference for experience with: Form Assembly (or other form tools), Mailchimp
